How to find alternatives for out-of-stock electronic components

· Sonani Electronics Team

A line on your BOM goes out of stock. Someone offers "the same part" with a different number. Sometimes it is the same electrical part in a different pack. Sometimes it is a different circuit that happens to share a package photo. The checks below are what we expect an engineer to do before an alternate is allowed onto a board that is about to be made in India.

We source and deliver the components. If you want us to propose a substitute, keep the original manufacturer part number on the BOM and say that a substitute is allowed. We will not silently swap a part that changes the footprint, the pinout or the dielectric. The quote you accept is on a single GST invoice, with no hidden charges. You can also look yourself in parts search and on the catalogue search, then send the shortlist with the BOM through upload a BOM.

Start from the original part, not from the value

Write down the original orderable part number, not the family name. "3.3 V regulator" is not a part number. Read the ordering table. A suffix may mean only tape-and-reel versus cut tape, which is usually fine, or it may mean temperature grade or pinout, which is not.

If the number is incomplete, say the value, package, voltage, and the job (decoupling, timing, or a power path). A timing capacitor has less room for drift than a decoupling capacitor.

Package and footprint

The package name has to match the copper on the PCB, not only the catalogue photo. 0402 and 0603 are not interchangeable without a layout change. SOT-23 and SOT-23-5 are not the same pad pattern. SOIC, SSOP and TSSOP can share a rough size and still differ in pitch. QFN parts with the same pin count often differ in the thermal pad size, and that pad is easy to get wrong because it is under the body.

Check body size, pin pitch, pin count (including an exposed pad), height under a shield or lid, and which corner is pin 1. If the alternate needs a new footprint, it is a new PCB revision, not a purchasing swap. Do not send a bent-lead adaptation as a production alternate.

Pinout

Same package does not mean same pinout. Compare every pin, including the exposed pad. SOT-23 regulators move enable, ground, input and output. SOT-23 MOSFETs do not share one gate-drain-source order. Connectors need the same gender, pitch and mating direction. If you cannot see a pinout table, do not approve the alternate.

Voltage, current and tolerance

The alternate should meet the ratings your circuit uses. A capacitor below the DC voltage on that node, a regulator with less current than the load, or a diode with less reverse voltage is not a swap. It is a different design.

Tolerance is part of the value. A 1% resistor in a divider is not automatically a 5% part, and a timing capacitor does not silently become 10%. If the original BOM omitted tolerance, look at the circuit before you widen it. On power parts, also compare on-resistance and the thermal pad. A smaller tab is a problem even when the headline current matches.

Dielectric: why X5R is not Y5V

Ceramic capacitors are where out-of-stock swaps cause the most confusing bugs, because the board still "works" and then misbehaves when it gets warm or when the rail is at full voltage. The dielectric is the material, and it is printed in the part number. Read it. Do not stop at "100nF 0402".

DielectricWhat it is forWhat goes wrong if you swap carelessly
C0G or NP0Stable capacitance. Timing, filters, resonant circuits.A high-K ceramic will drift. The circuit was not designed for that.
X7RGeneral decoupling and bypass. Usable across a wide temperature range, up to 125°C class.Capacitance still falls with DC voltage. Check the voltage curve, not only the room-temperature number.
X5RSimilar idea to X7R, with a lower top temperature class (85°C).Fine for many consumer boards. Do not drop it into a hot enclosure that was designed on X7R without looking at the temperature.
Y5VA high-capacitance dielectric that moves a lot.Capacitance collapses with temperature and with DC bias. It is not a silent substitute for X7R or X5R.

The letter and number are the temperature class. R means about ±15% over that range. Y5V is allowed to move far more. Two reels that both say 10µF can measure very differently on a 5 V rail. Read the capacitance-versus-DC-voltage curve. If the alternate does not publish one, treat it as unknown.

Match the rated voltage as well. A 6.3 V part on a 5 V rail is a different bias point from a 16 V part in the same case. Do not replace a ceramic with a tantalum because the microfarad number matches. Polarity, footprint and ripple are all different.

What else changes the part even when the value matches

  • Temperature range of the whole part, not only the dielectric code
  • Inductors: saturation current and resistance, not only the microhenries
  • Crystals: load capacitance. 12 pF is not 8 pF
  • Connectors: plating, current per pin, and the latch
  • Regulators: enable pin, dropout, and fixed versus adjustable output
  • Moisture sensitivity, as a note to assembly if the part will be reflowed

Approved alternates go in a separate column on the BOM, next to the original number. Do not overwrite the original. If the alternate is second choice, write "use only if the original is unavailable". If either is acceptable, write "either is approved". The format is in BOM best practices.

Lead time is not a reason to skip the checks

When a part is out of stock, the choices are to wait, approve a checked alternate, or change the PCB. Imported parts typically reach Surat in about 12-15 working days, India-sourced parts about 2-4 working days, depending on stock. That is typical when the part can be bought. It is not a reason to accept a different dielectric.

The quotation can show India-sourced and imported lines together. You still get a single GST invoice, with no hidden charges. Dispatch after the parts reach Surat is on shipping and returns.

What to send when you want us to suggest an alternate

Send the original part number, the designator, the footprint name, and a one-line job for the part ("input decoupling on the 3.3 V rail", "series resistor on an LED", "main buck, 12 V to 5 V"). Say whether a footprint change is acceptable. If it is not, we will only look at drop-in options. Attach the datasheet if the number is hard to search. You can start from upload a BOM or from WhatsApp.

We will not invent a test report or a customer name to justify a swap. If we are not sure, we will say we are not sure and leave the line unchanged.

Common questions

A different marking is called the same die. Is that an alternate?

Treat a different orderable number as a different part until the datasheets match on package, pinout and ratings. A short marking code is not the manufacturer part number.

Can X5R replace X7R when value, package and voltage match?

Often, on a board that does not run hot. X5R is the 85°C class and X7R is the 125°C class, and you still read the DC bias curve. Do not treat Y5V the same way. It is a different dielectric.

Our internal code matches. Is the part approved?

Only if that code is tied to one manufacturer part number or to a list someone already checked. "100nF 0402" without a dielectric is not an approval. Put the manufacturer part number in its own column.

Will you change the PCB so a stock part fits?

A footprint change is a new Gerber, which you accept in writing. Boards are made through our manufacturing partners. We source and deliver the parts. Send Gerber, BOM and pick-and-place together, as in preparing those files. A new bare board starts on PCB fabrication.
